This Privacy Policy describes how Akaal Creatives LLP (“Akaal Creatives”, “we”, “us”, or “our”) collects, uses, stores, and protects personal information when you visit akaalcreatives.com (the “Website”) or use any of our products and services.

This policy applies to the Website and the following Akaal Creatives products:

  • LibreDiary — Workspace Management System
  • GemsPile — Point of Sale System
  • Quantifi — Concrete Production Management
  • PureDrop — Drinking Water Supply Management
  • DailyDabba — Tiffin Delivery Management
  • MitriCRM — Customer Relationship Management

By using the Website or any of our Products, you agree to the collection and use of information in accordance with this policy. If you do not agree, please discontinue use immediately.

3. Information We Collect

a) Website Visitors

When you interact with our Website, we may collect:

  • Cookie data: see Section 7

b) Product Users

When you register for or use any of our Products, we may collect:

  • Account data: name, email address, and organisation name
  • Usage data: features accessed, session duration, and error logs
  • Content you enter into Products: this varies by product and may include course content, customer records, transaction data, delivery schedules, workspace data, or production records
  • Payment data: processed by third-party payment processors; Akaal Creatives does not store full card details

c) Mobile App Users

In addition to the above, when you use our mobile applications we may collect:

  • Device identifiers (iOS IDFA or Android Advertising ID, where permitted and relevant)
  • Push notification tokens (to deliver in-app notifications)
  • Operating system version and device model
  • App version

We do not collect background location data or track you across third-party apps or websites.

4. How We Use Your Information

We use the information we collect for the following purposes:

  • Service delivery: to provide, operate, and maintain the Website and our Products
  • Communication: to respond to your enquiries and send service-related notifications
  • Product improvement: to analyse usage patterns, identify issues, and improve features
  • Security: to detect fraud, abuse, and unauthorised access
  • Legal compliance: to comply with applicable laws and respond to lawful requests from authorities

  • Service providers: third parties who assist us in operating the Website and Products — including hosting providers, transactional email services, and our helpdesk at help.akaal.biz. These parties are bound by data processing agreements and may only use your data for the purposes we specify
  • Payment processors: payment data is handled directly by third-party processors who are independently responsible for the security of that data
  • Legal and regulatory authorities: when required by law, court order, or to protect the rights, property, or safety of Akaal Creatives, our users, or the public
  • Business transfers: in the event of a merger, acquisition, or sale of assets, your data may be transferred to the successor entity. We will notify affected users before any such transfer takes effect

7. Cookies & Tracking

Cookies are small text files stored on your device by your browser. We use the following types:

  • Essential cookies: required for basic site functionality such as session management and security. These cannot be disabled without affecting site operation
  • Analytics cookies: we do not currently deploy third-party analytics cookies on the marketing website. If this changes, this policy will be updated and appropriate consent mechanisms introduced

You can control or delete cookies through your browser settings. Note that disabling essential cookies may affect the functionality of our Website and Products.

8. Mobile Applications

Our mobile applications are distributed via the Apple App Store and Google Play Store.

  • Platform data: Apple and Google collect their own data through their respective platforms under their own privacy policies. Akaal Creatives does not control or have access to that data
  • Push notifications: you opt in to push notifications on a per-device basis. You can disable notifications at any time through your device settings
  • Device permissions: any device permissions requested by our apps (such as camera or storage access) are disclosed within each app’s App Store or Play Store listing and requested only when necessary
  • Cross-app tracking: we do not track you across third-party apps or websites

9. Data Retention

We retain personal data only for as long as necessary for the purposes described in this policy or as required by law.

  • Website enquiries: retained for up to 2 years from last contact
  • Product accounts: retained while your account is active; deleted within 90 days of account closure upon written request
  • Server logs and analytics: aggregated and anonymised within 12 months
  • Legal holds: data may be retained for longer periods if required by law or an ongoing dispute

10. Data Security

We implement appropriate technical and organisational measures to protect your personal data, including:

  • Encryption in transit (HTTPS / TLS)
  • Access controls and authentication on internal systems
  • Regular security reviews of our infrastructure
  • Hosting on servers managed by Akaal Creatives or trusted cloud providers

11. International Data Transfers

Your personal data is primarily stored on servers located in India. Due to our operations in Canada and our use of international service providers, your data may be transferred to and processed in other countries.

  • EU / UK transfers: where no adequacy decision exists, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission
  • Canada: transfers are made in accordance with PIPEDA’s cross-border transfer provisions

By using our Website or Products, you consent to your data being transferred to and processed in India and other jurisdictions as described in this policy.

12. Your Rights

EEA & UK (GDPR)

If you are located in the EEA or UK, you have the right to:

  • Access the personal data we hold about you
  • Rectify inaccurate or incomplete data
  • Request erasure of your data (“right to be forgotten”)
  • Restrict or object to certain processing activities
  • Request portability of your data in a machine-readable format
  • Withdraw consent at any time (without affecting the lawfulness of prior processing)
  • Lodge a complaint with your local Data Protection Authority

Canada (PIPEDA)

If you are located in Canada, you have the right to:

  • Access the personal information we hold about you
  • Challenge the accuracy of that information and have it corrected
  • Withdraw consent, with reasonable notice, subject to legal or contractual restrictions
  • File a complaint with the Office of the Privacy Commissioner of Canada

India (DPDP Act 2023)

Under the Digital Personal Data Protection Act 2023, you have the right to:

  • Access a summary of the personal data we process and the purposes for processing
  • Correct or update inaccurate personal data
  • Request erasure of personal data where no legal basis for retention exists
  • Nominate another individual to exercise these rights on your behalf
  • File a complaint with the Data Protection Board of India

13. Children’s Privacy

Our Website and Products are not directed at children under the age of 13 (or under 16 for users in the EEA or UK). We do not knowingly collect personal data from children below these ages.

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date at the top of this page.
